Welcome to Rwanda and Uganda Budget Safaris. These Terms of Service set out how you may use our website and how we handle the sale of safari tours, travel packages, and related services. Booking with us means you have read, understood, and agreed to be bound by everything below. If you are booking for a group, you are accepting these terms for every member of that party as well.
Agreeing to These Terms
Simply browsing our website, sending an enquiry, or confirming a booking means you accept these Terms of Service in full. We may update them from time to time, and continuing to use our services after a change means you accept the revised version.
These terms bind every traveller, including anyone booked as part of a group. Whoever makes the booking is responsible for making sure the rest of the party knows about and agrees to these terms.
Bookings & Reservations
A booking only becomes final once we've received your deposit and sent you written confirmation. Before that point, prices and availability can still change.
- βA non-refundable deposit equal to 30% of your total tour cost secures your spot.
- βThe balance is due 60 days before you depart.
- βIf you book within 60 days of departure, the full cost is payable immediately.
- βAll prices are quoted in USD, per person, unless we say otherwise.
It's your responsibility to make sure the traveller details you give us β names, passport numbers, nationalities, dietary needs β match your official travel documents exactly.
Payment Methods
You can pay us through any of the following:
- βBank transfer (USD, GBP, EUR)
- βCredit or debit card through our secure payment gateway
- βMobile money (MTN, Airtel β for clients based in Uganda)
Any bank transfer fees are for your account, not ours. We need to receive the full amount, after any transfer charges, before we'll treat the booking as settled.
If we spot a pricing error, we can correct it even after your booking is confirmed. You'll then have the choice to continue at the corrected price or get a full refund.
Cancellations
Cancellations need to be sent in writing to reservations@nextgensafaris.com. Here's what it costs to cancel, depending on timing:
| How Far Out You Cancel | What You will Owe |
|---|---|
| More than 90 days before | Just the deposit (30%) |
| 60 β 90 days before | 50% of the total tour cost |
| 30 β 59 days before | 75% of the total tour cost |
| Under 30 days before | 100% of the total tour cost (no refund) |
Once issued, gorilla trekking permits cannot be refunded or transferred to someone else. We strongly encourage taking out comprehensive travel insurance to cover cancellation costs.
Changes to Your Itinerary
Sometimes we have to adjust an itinerary for reasons outside our control. That can include:
- βSevere weather or natural disasters
- βPark closures or new government restrictions
- βRoad conditions, flight delays, or other infrastructure issues
- βWildlife movement and instructions from park rangers
We will always try to offer an alternative of equal or greater value first. Where that is not possible, we will offer a partial refund or a credit note, at our discretion.
Limits on Our Liability
Rwanda and Uganda Budget Safaris books on your behalf with hotels, lodges, airlines, and other independent suppliers. We choose our partners carefully, but we can't take responsibility for:
- βActions or failures by third-party suppliers
- βLoss, injury, damage, or delay caused by events beyond our control (force majeure)
- βWildlife encounters β nature carries its own risks on safari
- βLost or stolen personal belongings
Whatever the circumstances, our liability to you will never exceed the amount you actually paid us for that specific tour.
Health & Safety
You are responsible for making sure you're medically fit for the activities on your itinerary. We'd strongly encourage you to:
- βTalk to your doctor or a travel health clinic before you leave.
- βGet any recommended vaccinations, including yellow fever, which Uganda requires by law.
- βLet us know about any medical conditions or mobility needs when you book.
- βKeep prescription medication in your hand luggage, along with a letter from doctor.
Our guides can pull any traveller out of an activity if they believe its necessary for that person's safety or the group's. No refund applies in these situations.
Traveller Conduct
We expect every traveller to act responsibly and respectfully β toward wildlife, local communities, fellow guests, and our team. The following are strictly off-limits:
- βFeeding, touching, or harassing wildlife
- βDisrespecting local customs, traditions, or sacred sites
- βLittering or damaging the environment
- βAny behaviour that puts others at risk
- βBuying or trading illegal wildlife products
We can end the participation of any traveller who breaks these rules, with no refund given.
Travel Insurance
Every client travelling with Rwanda and Uganda Budget Safaris must hold comprehensive travel insurance. At a minimum, your policy needs to cover:
- βMedical costs and emergency evacuation
- βTrip cancellation or cutting your trip short
- βLost belongings and baggage
- βPersonal liability
We may ask to see proof of your insurance before or when your tour starts. We can't accept responsibility for costs that come from having inadequate cover.
Governing Law
These Terms of Service are governed by the laws of the Republic of Uganda, and any dispute connected to them or to your use of our services falls under the exclusive jurisdiction of Ugandan courts.
